GENERAL RECRUITMENT ANNOUNCEMENT

 

A stage of multi-disciplinary learning, the University of Toronto Forum of China Development (UTFCD) is embodied by a rich history of intellectual and cultural exchange as well as student leadership. Academic seminars are dispersed throughout the year until the onset of the highly anticipated annual conference – University of Toronto China Conference (UTCC) – and the organization is dedicated to promoting diversity of campuses and helping students, faculty, and the general public enhance their understanding of international liaisons, especially with relations to China and the China-Canada relationship. More information about the organization, as well as the most recently ratified Constitution, can be found at About Us.

 

As of September 2010, the University of Toronto Forum of China Development (UTFCD) is actively recruiting for the following positions:

 

  • Director of UTFCD, Scarborough Campus
  • Director of Administrations
  • Director of Finance
  • Director of Conference Development
    - Conference Speaker Relations Coordinator & Conference Logistics Coordinator
  • Director of Marketing
  • Coordinator of Technology Development

Descriptions for each position are as per below:

Director of UTFCD, Scarborough Campus

Applicant should be a full-time or part-time member of the UTSC campus.

The Director of UTFCD Scarborough Campus will:

  • Preside over all meetings taking place in the University of Toronto Scarborough (UTSC);
  • Represent UTFCD on and off the UTSC campus;
  • Oversee the operations of UTFCD with relations to the UTSC campus such as administrative affairs, marketing, and ticket vending;
  • Delegate tasks and supervise the performance of officers working for the UTSC campus;
  • Provide timely feedback to the President with respect to UTFCD activity in UTSC, and participate in the expansion and development of the organization.


Director of Administrations
The Director of Administrations will:

  • Schedule executive meetings and be responsible for room bookings;
  • Maintain an accurate record of all organizational meetings and post regular updates to all levels of organization;
  • Oversee internal communication between UTFCD members as well as managing communication with external participants;
  • Maintain membership directory and submit appropriate human resources material to the university;
  • Schedule meetings/events with appropriate University offices and other organizations;
  • Correspond when necessary with University administration and other affiliated or relevant organizations.
  • Develop a transparent recruitment process and be responsible for recruitment of executives;
  • Deal with human resource conflicts that may arise within UTFCD efficiently and fairly;
  • Coordinate class announcements, booth schedules, the distribution of flyers and posters, as well as any volunteers working for the organization.


Director of Finance
The Director of Finance will:

  • Collect all funding receiving from sponsors and participants and debit expenses from the organization bank account;
  • Maintain accurate records of organization transactions and ensure this accuracy with periodical reviews of kept records;
  • Direct the development  of organization budget with other executives and allocate funds accordingly;
  • Provide transparent budgetary information to organization regularly and when required;
  • Prepare fiscal reports and communicate with relevant sponsors and strategic partners.


Director of External Relations
The Director of External Relations will:

  • Establish and maintain sponsor relationships with potential corporate, public, media and/or academic partners with the goal of obtaining financial, network, speakers, resources, or recognition support for UTFCD;
  • Establish and maintain strategic partnerships with appropriate and relevant organizations with the goal of fulfilling organization mandate, developing and expanding the organization, and obtaining network, resources, or  recognition support for UTFCD;
  • Be responsible for external marketing of the conference, including forwarding marketing materials prepared by the Director of Marketing to external organizations and inviting external delegates to the annual conference;
  • Prepare press conferences, releases, and communicate with relevant internal and external media;
  • Prepare annual reports and communicate with relevant sponsors and strategic partners, aided by fiscal reports from the Director of Finances.


Director of Conference Development
The Director of Conference Development will:

  • Oversee the annual conference theme and panel development;
  • Research panel topics, identify key discussion points and ensure relevance of panels topics to conference theme;
  • Innovate and develop panel formats necessarily and appropriately;
  • Oversee the work of the Conference Speaker Relations Coordinator, who will:
    - Research keynote speakers, guest speakers and VIP delegates, send out invitations, and coordinate their participation in the annual conference;
    - Ensure positive speaker experiences in their participation of the annual conference by working closely with the Director of Conference Development;
  • Develop and produce annual conference programme;
  • Maintain a record of past conference themes, panel topics, and speakers that is to be public available to all members of UTFCD.
  • Oversee the work of the Conference Logistics Coordinator, who will:
    - Be responsible for planning and organization conference logistics;
    - Select conference venue and arrange conference reception and catering, working closely with the Director of Finances;
    - Develop plan for coordinating personnel on conference day;
    - Ensure appropriate equipment and technological support on conference day;
    - Ensure positive experience of participating speakers, guests, and delegates during the conference;
    - Develop and produce conference tickets and be responsible for the selling of tickets, collection of ticket dues and reception of all dues by the Director of Finances.


Director of Marketing
The Director of Marketing will:

  • Oversee seminars and other public events to convey the mandate of UTFCD to participants as well as for marketing purposes, to raise awareness for the organization and all other hosted events;
  • Work closely with the Director of Conference Development – Content, to invite speakers for seminars;
  • Be responsible for logistics and marketing of seminars and other related events;
  • Develop and update the organization website to ensure positive publicity and accurate depiction of organization goals and current/future activities;
  • Develop and produce banners, posters, brochures, and other marketing and promotional materials.

Coordinator of Technology Development

Please note your experiences with the following: PHP, XHTML/HTML, CSS, MYSQL, CMS management.

The Coordinator of Technology Development will:

  • Oversees all technology related issues; this may include the organization’s official website, private forums, and any other type of technological support during any event.
